HINTON TALENT GATEWAY / GOVERNANCE
Applicant Privacy Notice
Draft for review: This text is a design-stage policy outline, not an approved or legally effective privacy statement. The current interface is a demonstration and does not transmit or retain submitted application information.
1. Purpose
Once the production system is authorized, Hinton Consulting intends to collect professional information for employment screening, consulting partnership consideration, and voluntary future-opportunity networking, depending on the pathway selected.
2. Categories of information
Expected categories include contact details, location, relevant employment and consulting history, education and professional credentials, areas of expertise, professional website links, availability, and optional résumé or work-product documents. The system should not solicit Social Security numbers, dates of birth, medical information, or other sensitive information during initial intake.
3. Use and access
Authorized recruitment personnel may use application information to assess stated role requirements, communicate next steps, document evaluations, and manage recruitment activities. A secure applicant repository—not public website code or unrestricted task comments—will store confidential files.
4. Optional talent-network contact
Future opportunity notifications should be based on a separate, recorded opt-in. A person applying for a specific position does not automatically consent to indefinite inclusion in a general talent database. Opt-out methods must be provided before launch.
5. Retention and deletion
A legally reviewed retention schedule must distinguish applicants, employees, consultants, contractors, withdrawn applications, and records subject to litigation or government contract rules. The production system should support documented deletion or retention holds as applicable. No specific schedule is finalized in this draft.
6. Security and providers
Production design calls for encrypted storage, least-privilege reviewer access, multifactor authentication, audit events, secure file validation and scanning, and restricted integrations. Provider details and disclosures must be confirmed before this notice becomes effective.
7. Access and requests
Contact pathways, correction procedures, opt-out mechanisms, and applicable state privacy rights will be finalized before launch. Until that time, use the Hinton Consulting corporate website for general inquiries.
8. Approval gate
Legal/compliance and recruitment leadership must approve the effective notice, retention matrix, user access policy, and applicant communications before enabling real application submissions.
